Responsibilities

  1. Administration:
  • Labor legal employment:

– Labor contract, report to the labor department for increase, report to the labor department for decrease
– Labor book for new staffs, make all offer letters, probation contracts, decisions, letters, labor minutes supplements
– Others matters

  • Labor Policies and Regulations:

– Proposals, solutions (salary increase at year end, taxi, hand phone, insurances, budget)
– Participate to build and update the yearly salary policies, bonus policies, internal regulations other regulations
– Update of new regulation to staffs, annual leave report to staffs, procedure to close staff profile

  • Recruitment:

– Determine the demand of labors of the departments and make the internal procedure for recruitment approval
– Prepare the job advertisement, contact the man power providers, on-line suppliers and head hunters to make a procedure for searching and collecting candidates
– Call, email to invite and thank you the candidates, and make a shortlist and participate in the interview for HR interview level
– Keep track for recruitment expense and payment between the finance department and suppliers, prepare the offer letters as negotiation contents in the interview and submit for approval, prepare the welcome check list and notice procedure to receive a new corner
– Keep track the waiting list, file and input data of candidates
– Co-operate other top positions of functional departments to build the job description of positions in the Company

  • Legal Paper Work (filing):

– Investment License, public Notarized Document
– Administrative Contracts (Car, Internet, Mail, Telephone, Office Rental, Cleaning, Photocopy Rental)

  • IT controlling:

– Check operation for Server, switch, Cloud, LAN network, Internet, computer, laptop and fix the problem or contact with local IT, help me to solve/maintain if any equipment is not working

  • Hotel Booking:

– Book and keep track of guests staying as well as make procedure for payment

  • Others:

– Guide the administration standards and other tasks as required by GD

2. Finance: 

  • Report / docs for Tax purpose:

– Tax report and CIT report, state Bank report, statistics report
– Making accounting booking as VN accounting system
– Finalization fiscal year and review contract, invoice
– All the above manual in Excel

  • Control:

– Petty cash book, bank
– Final reconciliation bank and final reconciliation cash
– Prepayment, provision, revaluation
– Reconciliation with ops system (checking data transfer from ABS to SAP, checking Cost and Sales one by one shipment.
– Statement vendor/customers and administration cost
– Fixed assets/Depreciation

  • Internal report:

– Cash book report and bank statement
– Management report (Finance statement, P&L, balance sheet)
– Forecast cash and loan, interest

  • Other:

– Checking advance/payment, receipt, invoice issued and checking bank transfer before submitting for GD/BOM approval
– Settlement with agent, customers, supplier and others job related to finance, review Loans and registration with State Bank for extension/writing off
– Working with Auditors, Tax Officer and other concerns parties

Requirements

– At least 30 years old, any gender
– 5-8 years’ experience in the service or logistics industry
– Good English communication skills
– Good interpersonal skills and people management skills
– Honest and has high level of integrity
